One of the most important components to a successful card-based accounts payable program is to have the targeted vendors both capable and amenable to accept the buyer’s card to satisfy the payables obligation.

EnCompass has integrated specialized access to processing accounts that are provided individually to each vendor that allow them to have funding routed to their designated deposit account using the card networks.  These acceptance tools do not interfere with a vendor’s established card acceptance capabilities.

The AOC Contact Center in Morgantown, West Virginia has been performing awareness and usage campaigns for our government and private sector clients since 1997.  AOC works with the Client to design an outreach approach that results in the highest potential for vendor adoption -- resulting in increased dollar volume and income from revenue sharing.

Enrollment typically is able to commence when the Client A/P payment file is able to be sent and has been determined to be completed (coded per specifications by card issuing bank, AOC and Client).  Processes for vendor enrollment may vary slightly based on client requirements, but generally follow the outline below:

The design of the AOC Vendor Enrollment process coordinates communication between AOC, the Client, and the vendor, establishing the appropriate type of “Visa/MasterCard Vendor card account. (actual card plastic may or may not be issued depending upon the needs of the Vendor).

As Vendor Enrollment is conducted, you will be notified via a file which Vendors have agreed to participate in your card based AP payment program.  Vendors are primarily driven to Push Pay due to its reconciliation advantages and potential cost savings benefits, but are also allowed to enroll in NotfiyPay if they elect to do so. The file provides you the information necessary to identify which participating Vendors need to have the settlement option for that Vendor changed from “check” to “card” within your AP Platform.

When changes are made to designate the card as the payment medium, the next payment file generated from your A/P platform that contains these vendors will produce a card payment to the designated vendor.

After the formal enrollment process ends, AOC has engineered on-going procedures to enroll new vendors "on the fly."  This allows new trading partners to quickly participate and for buyers to immediately realize the administrative and financial benefits of card-based Accounts Payable.
