The EnCompass architecture is modular, allowing you and your clients to select the
components that best meet their needs. It is also designed to allow rapid customization
and enhancement to adapt to evolving needs as your customers demand creative new uses for
cards.
Three standard modules included with EnCompass are Purchase Manager, Expense Envelope
and Reconciliation Manager.
Emerging opportunities for card portfolio growth are less about a physical "card" and more about the management
and control of the complete purchasing process. But existing solutions have been slow to adapt to newer, more
sophisticated card uses such as centralized purchasing and accounts payable.
EnCompass was designed for this evolving arena, and incorporates controls, real-time
card management and workflow capabilities that allow your customers to find new ways to
save money through innovative uses of their card program.
EnCompass supports both single-use and "vendor" card accounts and automates:
- Approval workflow per company policy and hierarchy
- Card account creation – with account limit and MCC restrictions
- Company and transaction variance settings
- Multiple options for transmittal to the supplier
- Automatic reconciliation and closure of completed transactions
- Exception handling as needed
This sophisticated level of controls allows companies to make high value purchases
and payments in any of the following situations:
- Accounts payable - when the supplier accepts cards or encourages rapid payment
- Purchases for controlled projects, or where policy requires secondary or higher approval
- Centralized payment for conference, meeting or travel expenses
Your customers want their employees to spend as little time on administrative tasks as
possible. But at the same time they want to be confident that all expenditures are
properly approved and accounted for. The EnCompass Expense Envelope module provides
your customer' employees with a quick and easy way to manage all travel and entertainment
expenses – while assuring controls and policies are followed. Any type of expense -
purchases made on cards as well as out-of-pocket expenses - can be submitted for
approval and payment or reimbursement.
Our sophisticated
Transaction Management capabilities allow
each record to be allocated, split or drilled down for further detail.
Map MCC codes to expense codes to automate expense allocation. Attach notes and comments
to provide additional justification or explanation of expenses.
Expense Envelope options include:
- Issuer-defined expense categories
- Client-defined expense categories – (up to 50)
- Expense codes mapped to MCC
- Out-of-pocket expenses
- Mileage - rate and effective date set by client
- Hyperlink to customer travel policy
- Expense transaction management including "splits" and reallocations
- Customer can define required categories in the expense form
- Downloadable expense report view including MCC segmentation useful for managing:
- Airlines
- Rental Car
- Lodging
- Flexible account payment options
- Employee can be reimbursed for out-of-pocket items via ACH
- Consolidated ACH funding of centrally billed transactions such as air
- Individually billed cardholders can pay their balance online via ACH debit to their checking account
An often overlooked component to the purchase process is the verification that the right
purchase was made for the right amount, for the right purpose, by an authorized
individual. This manual administrative review is labor intensive and error prone.
The implementation of Sarbanes-Oxley initiatives have focused attention on this component
and highlight the need for utilities to improve the accuracy and efficiency of these tasks.
